Introduction
SchoolCash uses student data from a student information system (SIS) to itemize deposits and attach payable items to specific students. Providing SIS data to KEV Group allows end users to attach items by grade, course, homeroom, group, or individually. This guide explains how to prepare and upload SIS data for Canadian SchoolCash clients.
Steps to Provide SIS Data
- Extract SIS Data:
- Refer to the SIS extract specification documents.
- Prepare the data in a tab-delimited .txt format.
- If a field is not mandatory and cannot be included, insert a tab/placeholder for alignment.

- Use the SIS Validator tool to ensure the data format aligns with the specification.
- Access the tool at https://www.kevclientsuccess.com/sisvalidator.

- Upload SIS Data Files:
- Upload the student registration file to the Student FTP folder.
- Upload the student scheduling file to the Scheduling FTP folder.
- If uploading staff data (optional), ensure it is uploaded after the mass file.

- Automate the Upload Process:
- After passing Quality Assurance testing, automate the upload process to run daily, preferably after business hours.
- Contact KEV Group for assistance if needed.

- Monitor Uploads and Handle Errors:
- Configure the system to retrieve and import files daily from your designated FTP folders.
- If any errors occur, the failed records will appear in a Failed subfolder on the FTP site.
