See attachment SchoolCash Catalog_How to Create and Attach by Group (end of article) for the How to Create a Group, using Group Management. A group can be created within Group Management from the student information uploaded to School Cash, or using Group Import.


In order for the Group Import to function, 

the following information, and the order, are required for the Group Import to function:

School Name | Group Name | Student First Name | Student Last Name | Student ID Number


Does the district send the legal or preferred (known as) student names? This information must be known prior to creating an import file.

School Name, Student Names (format as that sent to KEV) and Student ID Number must appear in .csv or .txt file exactly as they appear in SchoolCash including format.


Option 1:   If district’s current Student Information System (SIS) can export a group,

        save this export in a .csv (Excel - comma separated value) or Word - .txt format in the order listed above.


Option 2:   Create a new .csv or .txt file, with required information, as noted above.


                 NOTE:    Are there leading zeros in all, or some, of the Student ID Numbers?

              If the answer is yes, then create a .txt file. Do not create a .csv file, as the leading zeros will be dropped.

                  

              If the answer is no, and there are no leading zeros in the student (student information system) number,                    then you can create either a .csv file OR a .txt file.

There are two (2) options to add students to a Group.

Option 1: Adding students via the Create a New Group feature 

Option 2: Importing a Group using a Comma Delimited (.csv) or Tab Delimited (.txt) file

 

Create a New Group Option

Select Group Management tab, then click Create A New Group button

 

  1. Enter Group Name
  2. Click Add Students button

 

  1. Select checkboxes next to students’ names to add to the group
  2. Click Add (# of students) Selected To Group button, example shows 4 students

 

  1. Click Save button
    1. Import a Group Option

      1. Create a .csv or .txt Group File

Save the file locally

Import .csv or txt Group File

Select Group Management tab, then click Import Group button

                An Import Window will open, providing 

 

The following information, and the order, are required for the Group Import to function:

NOTE:   Are there leading zeros in all or some of the Student ID Numbers?

                If the answer is yes, then create a .txt file. 

                Do not try to upload a .csv file.

                An Excel .csv file will drop the leading zeros and will result in the file not uploading.

  1. Select the .csv or .txt file from the upload screen
  2. Click Open
  3. The group will automatically be added to the List of Groups

 

Group Management – List of Groups

  1. Files can be selected, edited or deleted, whether they were created or imported in group management.

 

Attaching Students by Group

  1. Select Optional, Recommended or Required
  2. Select Attach Item To Group
  3. Click checkbox beside Group name
  4. Click Attach Students button
