Limit Per Student default of one (1) is changed to > 1, to allow for whatever number of tickets that can be purchased per student. The Limit Per Student toggle is not made grey (unlimited), only amount increased! 



Scenario: Event item is set up with ticket option and choices.
               BUT, only 4 tickets can be purchased per child. There is a Quantity Limit of 250 (number of seats in the venue).

What is the Best Practice Setup?

  • Limit Per Student default is changed to four (4) (> 1) ticket purchases per student
  • Limit Per Student change allows for multiple purchases, up to maximum of 4 per student.
    The Option Minimum and Maximum Choices default remains as default of 1:1

When Limit Per Student is changed allowing for a specific number of purchases, and Minimum & Maximum Choices default remains unchanged, it is helpful to include How to Purchase instructions in the item or option description, i.e.,
 “Please make your first ticket selection and quantity, add to cart. Make a second ticket selection and quantity, add to cart. Repeat until all ticket and quantity selections are made”.

  • Limit Quantity default is changed to 250
  • The price of ticket can be in the financials section if they are all the same price or can be entered with each choice if the pricing varies. The example has a base cost of $10 per ticket and adult tickets are an extra $2 per adult ticket purchase.


CALCULATION INFORMATION

Note: The calculation of sold tickets will work correctly with the above Limit Per Student setup, combined with the Minimum/Maximum default of 1:1. This will provide radio (circle) buttons beside the ticket types.

Purchases will deduct from the set maximum Limit Quantity of 250. 


Mistake Result By Parent/Guardian Purchasing through SchoolCash Online

Ryan Argo's family will purchase 2 Adult tickets, 1 student and 1 child, but we'll make a mistake and see what happens when we select beyond the allotment of four tickets.

  1. Two Adult tickets are to be purchased.
    Adult is selected with a quantity of 2, adding an extra $4 to twice the base cost of $10, for a total of $24
    Add to Cart    Select More Item
  2. Make second choice and quantity selection.
    One Student/Senior ticket is to be purchased. No change to the Quantity of 1.

    Cart Review after the first two ticket choice and quantity selections.
  3. Make third choice and quantity selection.
    One Child ticket is to be purchased. Quantity should remain as 1, but a mistake is made, and Quantity is changed to 2.
    The system provides a warning pop up indicating the maximum purchase quantity has been reached.
    Fee not added to cart.
    Make a change to the quantity, add to cart and review.


Mistake Result Purchasing through the SchoolCash Register

Maci Blake's purchase of 2 Adult tickets, 1 student and 1 child is completed through the SchoolCash Register (SCR).

The Item and Full Payment were selected. 


This prompted the choice selection. However, as the Minimum and Maximum setup remained as the default of 1:1, each ticket selection must be purchased individually.

  1. Two Adult tickets are to be purchased.
    Adult is selected with a quantity of 2, adding an extra $4 to twice the base cost of $10, for a total of $24

  2. The item disappears from the list of items available for purchase.

    Select Add Additional Item, select the School Year (if prompted), choose the same item for next purchase
    One Student/Senior ticket is to be purchased. No change to the Quantity of 1.

    Cart Review after the first two ticket choice and quantity selections.

  3. The item disappears again from the list of items available for purchase.

    Select Add Additional Item , select the School Year (if prompted), choose the same item for next purchase
    One Child ticket is to be purchased. Quantity should remain as 1, but a mistake is made, and Quantity is changed to 2.
    When an additional ticket purchase was to be requested, the system produced this message.


Scenario:  8 tickets have now been sold (4 by parent/guardian online and 4 through the SCR), in addition to the initial 3 tickets


The system will allow purchases until all 250 tickets are purchased. If there are only a few tickets remaining, the purchaser will be able to purchase until the last of the 250 tickets is selected, if they have not purchased their allotted 4 purchases. At that time the purchaser will receive a message indicating the maximum quantity has been reached. The item will display to parents on SchoolCash Online as sold out.
