This article explains how to copy an item across multiple schools for both SchoolCash Accounting (SCA) and SchoolFunds Online (SFO) platforms. It provides a step-by-step guide for District Administrators to follow.

Is It Possible to Copy an Item Across Multiple Schools?


Yes, it is possible depending on the platform being used.

SchoolCash Accounting (SCA)


District Administrators for SCA have the capability to copy items across multiple or all schools. The caveat is that each school item being copied to must have the selected category. If the school does not have the selected category in their Chart of Accounts, the item will not copy to that school.

SchoolFunds Online (SFO)


District Administrators for SFO cannot copy an item en masse from one school to many. However, an item can be copied from one school to another (one instance at a time) for SFO clients. SFO District Administrators only have this ability to copy from one school to another. Account names do not have to be the same.

Process for SCA Clients


District Administrators can follow the steps below:

For a New Item

  1. Create a new item.

  2. Enter the Item Name, Description, and select a picture.

To Copy an Existing Item

  1. Choose the school and school year the existing item is in.

  2. Select the item and choose the "COPY" button.

  3. In the Financials section, select the Multiple Schools toggle (it turns blue).

  4. Select All, Elementary, or check the boxes for the schools the item should be copied to.

  5. Select a category that is available in each of the selected schools.

    Tip: Verify the category is in all the schools' chart of accounts before proceeding. Add the category if it is not available or choose another category.

  6. New Item: Complete the remainder of the item.

    Existing Item being copied: Review and revise the remainder of the item to make it applicable for all schools the item is being copied to.

  7. Preview the item before saving. Warning: If changes are not made before saving, the item must be revised individually in each school catalog.

  8. Once the item is saved, attachments must be added by each school.
