This article provides step-by-step instructions on creating a prom or formal event ticket using a template. The process includes reviewing and revising event details, configuring ticket limits, setting revenue flow, and previewing the event before publishing.
Setting Up the Event Ticket
The event ticket item is created using a template that includes placeholder text for the event name, date, and other details. These placeholders must be reviewed and updated.
- Update the event name to reflect "Prom" or "Formal" as needed.
- Ensure the event date, time, and location are correctly entered.
- Remove any uppercase or bracketed instructional text from the template.
- The provided pre-approved image can be used or replaced with a different one.
Reviewing the Event Description
The event description should clearly outline the key details, including:
- Who: Specify the students who can attend (e.g., 11th and 12th graders).
- What: Describe what the ticket includes (e.g., entry, meal, and dance).
- Where: Provide the venue name and address.
- When: Confirm the event date and time.
- Why: Explain any special considerations, such as proof of purchase requirements.
Configuring Revenue and Ticket Limits
The financial and ticket limit settings must be reviewed and updated to ensure accuracy.
- All revenue can flow to one category account or be split across multiple accounts.
- If the revenue needs to be divided, add additional accounts before publishing.
- Set the ticket purchase limit per student (default: 2 tickets per student).
- Configure the venue capacity (e.g., 380 seats). Once capacity is reached, the system will mark the event as sold out.
Setting Start and End Dates
The event ticket can have a defined start and end date. These dates control ticket availability and email notifications.
- If the start date is today, email notifications are sent the following day.
- If the start date is set in the future, emails are sent on that specific date.
- Set the end date to ensure the item remains available for purchase over the weekend.
- Email reminders can be sent to registered parents or guardians who have not yet purchased a ticket.
Previewing and Publishing the Event
Before publishing, it is essential to preview the event page to confirm the following:
- All uppercase and bracketed placeholder text has been replaced.
- The event description provides complete and accurate information.
- The cost per ticket is correctly displayed.
- The ticket purchase limits and venue capacity are set appropriately.
Once the preview is confirmed:
- Select Save to store the event without publishing.
- Choose Save and Copy to create multiple event ticket listings.
- Click Save and Attach to finalize and publish the event.
Attaching the Event to Specific Grades
The event can be attached to specific student groups:
- Attach the item to 11th and 12th graders if both grades are allowed to attend.
- Attach the item to 12th graders only if the event is restricted to seniors.
Following these steps ensures that the event ticket is properly configured, accurately previewed, and ready for student purchases.
