How to Close Out the SchoolCash Register
The Close Out of the SchoolCash Register is a regular process for schools using the individual payments. The frequency is the policy determined by the district and school.
If individual payments have been entered in the SchoolCash Register and you have not completed a closeout, now is the time!

The Completion of all SchoolCash Register Group Collections
When a group collection is created, school staff enter the receipt of cash and checks for students on the list. Often, the deposit is selected rather than completed.
The deposit choice allows for additional deposit entries for the same group collection. In doing so, some group collections remain ready for further entries and never close with the complete selection. This step must be taken for every group collection in the year for a successful SchoolCash Catalog rollover.

Complete All Reconciliations
Both SchoolCash Accounting and SchoolFunds Online accounting platforms
Complete all reconciliations, up to and including the last month of the fiscal year.
Run all reports required by your district.
SchoolCash Comments Field
Comments are not required, but are often entered for partial, void, or waived fee payments in the SchoolCash Register.
The comments entry field appears in the Checkout window.
Where can comments be viewed? Comments can be viewed in various places.
- SchoolCash Register Close Out Report
- SchoolCash Register Statement
- SchoolCash Catalog, Account/Category Report
Can parents see comments? Yes, it is essential to know that the comments are visible on the two-part receipt.
Refund Reason Field
The SchoolCash Register Refunds window has an entry field titled ‘reason’.
Entries in this field will appear on the same documents as those entered in the ‘comments' field.
SchoolCash Accounting (SCA) Platform – Additional Prep & Year-End Rollover
Before completing any year-end processes, contact your district's administrative support to discuss your district's specific year-end rollover policies and procedures. Some districts only require staff to complete the preparation tasks, as outlined in articles 1-3. Other districts have their schools complete the school-level accounting rollover.
Year-End Rollover Warning
You will see a warning message display 15 days before the SchoolCash Accounting rollover date. The message will warn ‘the current bank account has passed the rollover date. It is recommended that you proceed with the year-end rollover procedures.’
Users of the Change Fund (Cashbox) – Prep of Close Out and Year-End Rollover
For a successful year-end rollover, schools using the Change Fund (Cashbox) category must have a zero balance, as of the year-end rollover date.
