Overview

Manage district-wide year-end rollover by reviewing school readiness, communicating outstanding tasks, and initiating rollovers for individual schools or all schools that are ready.


Before you begin
  • You must be a District Administrator.
  • Ensure each school completes all items on the Year-End Rollover Checklist before rolling over.
  • School users cannot use automated rollover; if they must roll over, they use Program Maintenance > Year-End Rollover Procedures (manual process).

Steps

  1. (Optional) From the Main Menu, go to Program Maintenance > Account Settings, then clear Enable Rollover by School User to prevent school-initiated rollovers.
  2. From the Main Menu, go to My School Information > Program Maintenance, then select Year-End Rollover Automation.
  3. Use Search to find a bank account by name or number; partial details match automatically.
  4. Click Print to generate a list of bank accounts that are not ready and share it with the appropriate schools.
  5. Review Rollover Year to control which accounts appear under Not Ready to Rollover, Ready to Rollover, and Rollover Complete.
  6. In Not Ready to Rollover, hover over each number to see the checklist item; click the chevron to view incomplete tasks.
  7. (Optional) Click the Notes icon next to a bank account to leave a reminder for school users.
  8. In Ready to Rollover, click Begin Rollover for a single school or Begin Rollover for All Schools to roll over all eligible schools.
  9. After completion, verify the accounts move to Rollover Complete. Use Download Reports to receive an email with links, or click individual report numbers to download PDFs.
  10. Confirm the year-end rollover date updates on the demographics screen.

Outcome

All ready schools roll into the new fiscal year, year-end reports are accessible under Rollover Complete, and the demographics reflect the updated year-end date.

Troubleshooting

  • Begin Rollover buttons are unavailable - At least one school must appear under Ready to Rollover with all checklist items complete.
  • School requests access to automation - Only district users can run automation; school users must follow Year-End Rollover Procedures if directed to roll over manually.
