Overview
Use the Year-End Rollover Data Verification Sheet to confirm key balances and dates during rollover. The sheet helps you align figures from Report 10, Report 11M, and the Reconciliation screen. Shaded cells indicate values that should match across sources.
Before you begin
- Role: District Administrator or accounting staff with permission to run reports and view reconciliation.
- Have access to Report 10, Report 11M, and the Reconciliation screen for the bank account you are rolling over.
Steps
- Prepare the verification sheet
- Open or print the Year-End Rollover Data Verification Sheet. Review sections for Balance Information, Statement of Financial Position, Schedule of Activities Fund, Opening Ledger Balance, and rows for Report 10, Report 11M, and Reconciliation.
- Enter rollover and opening information
- Record the Year-End Rollover Date in the header of the sheet.
- Complete Opening Ledger Balance – Last Screen with the Opening Date and Opening Balance when available.
- Capture Balance Information and financial statements
- In Balance Information – First Screen, enter Closing Ledger Balance, Bank Information, and Last Reconcile Date and Balance.
- In Statement of Financial Position, enter Cash and Cash Equivalents, Investments, and Total Financial Assets.
- In Schedule of Activities Fund, enter Revenues, Expenses, and Closing Balance.
- Verify figures from Report 10
- Record these figures on the sheet:
- Fig 1 Expenses
- Fig 2 Revenues
- Fig 3 Closing Balance
- Fig 4 Closing Balance Investments
- Record these figures on the sheet:
- Verify figures from Report 11M
- Enter Fig 5 Bank Balance in the row for Report 11M – Monthly Reconciliation.
- Confirm reconciliation screen values
- Record Fig 6 Last Reconcile Date and Fig 7 Last Reconcile Balance from the Reconciliation screen.
- Cross-check shaded cells
- Confirm all shaded cells match their counterpart values across sections. Investigate and resolve any differences before proceeding with rollover.
Outcome
Balances and dates are recorded and verified. Shaded cells match across sources, providing a reliable snapshot for rollover sign-off.
Troubleshooting
- Shaded cells do not match - Re-run the report for the correct date range, confirm filters, and verify the reconciliation month and sign-off align with the rollover period.
- Investments missing - Confirm investment handling is configured and verify the investment total in Report 10.
