Schools can create yearbook items in School Cash Online for current students and past school years. This guide provides step-by-step instructions for setting up yearbook purchases, adjusting availability, and making past yearbooks accessible to alumni.
Creating a Yearbook Item for Current Students
To create a yearbook item for current students, follow these steps:
- In School Cash Online, create a new item and name it "Yearbook". The school name is not required unless the item is also available to the public.
- Enter a clear description, including:
- Who should purchase it.
- Book type (hardcover or softcover).
- Pickup details (delivered to students or picked up at school).
- Reason for purchase (e.g., commemorating the school year).
- Upload an image of the yearbook.
- Assign the appropriate account category for revenue collection.
- Set the price for the yearbook.
- Select a start date and an end date. It is recommended to set the end date to a Sunday to allow last-minute purchases.
- The default purchase limit is 1 per student, but this can be adjusted or set to unlimited.
- Click Preview to verify the item’s details, including cost, description, and image.
Setting Up the Yearbook Item
Once the yearbook item is created, configure its availability:
- Select whether the item is optional or required. Yearbooks are typically optional.
- Attach the yearbook item to all students in the school. If the school has 626 students, the item should be available to all of them.
Creating a Yearbook Item for Previous School Years
If additional yearbooks from previous school years are available, follow these steps to list them for sale:
- Create a new yearbook item and include the school name in the item title (e.g., "Lincoln High School Yearbook – 2023").
- Select Edit.
- Enter an accurate name and description that specifies the school year and availability.
- Set the correct cost and limit the available quantity based on inventory.
- Choose whether to attach the item to current students for optional purchase.
- Set the item to public so alumni and community members can purchase it.
Making Yearbooks Public and Sharing Purchase Links
To ensure that alumni and community members can purchase previous year yearbooks:
- The school district’s online store allows users to browse by school name. Ensure the correct school name appears in the item title.
- Select the appropriate category or account for revenue allocation.
- Set a start date and an inventory limit to match the available stock.
- Preview the item to confirm accuracy before making it public.
- If the item is public, a red line will appear in the system indicating its availability.
- Use the generated public fee link to share the purchase page with alumni (e.g., for a reunion event).
Note
Before publishing, verify with your district regarding any district-specific procedures and policies related to selling yearbooks through School Cash Online. Your district may have additional requirements or recommendations.
