This article provides step-by-step instructions on using the Student Activity Fee Template in the SchoolCash Catalog. It includes selecting the correct template, updating fee details, and ensuring accurate availability and due dates.


Confirming the School Year and Accessing the Template

Before creating the fee, confirm that the SchoolCash Catalog has been updated for the new school year.

  • Open the SchoolCash Catalog and check the displayed school year.
  • If the previous school year is still showing, select the dropdown menu to verify that the new school year is available.

  • Review any orange banners that may appear for additional steps.
  • Once confirmed, click Browse Templates and locate the Student Activity Fee template.




Configuring the Student Activity Fee

Once the template is selected, review and customize the fee details.

  • Ensure that the school year is correct. If necessary, update it to match the new year.

     
  • Review and remove any instructions in uppercase or brackets provided in the template.

  • Confirm that the pre-approved image is appropriate for the fee, or replace it if needed.

Updating Financial and Fee Details

The financial details should be reviewed to ensure accurate revenue allocation.

  • Select the correct bank account for the fee.

  • Choose the appropriate account or category for revenue distribution.

  • Update the fee amount to reflect the correct charge for students.

  • Set the limit per student to 1, as each student is only required to pay the fee once.

  • Leave the limit quantity as unlimited, ensuring all students can be charged.

Setting Availability and Due Dates

To ensure that the fee remains available throughout the school year, configure the dates accordingly.

  • Set the start date to July 5th so the fee is available before the school year begins.

  • Set the end date to June 30th, allowing new students to pay the fee throughout the year.

  • Add a due date (e.g., August 31st) to mark unpaid fees as overdue.

  • If attached as a required item, the fee will appear as outstanding for any student who has not yet paid.

Previewing and Saving the Fee

Before finalizing the fee, preview it to ensure accuracy.

  • Select Preview to review the fee details before saving.

  • Check that all uppercase placeholder text has been updated.
  • Ensure the fee amount, dates, and financial settings are correct.
  • If changes are needed, edit the item before proceeding.

Once confirmed, save the fee using one of the following options:

  • Save: Stores the item without attaching it to students.
  • Save and Attach: Makes the fee available for assigned students.

Following these steps ensures accurate fee setup and management for the new school year.
