Overview

You can void a check using the Reconciliation module. This ensures the void action is recorded for audit purposes and keeps balances accurate for the reconciliation month.


Steps

  1. From the Main Menu, go to General > Reconciliation.
  2. Click the Search tab and search for the required check.
  3. Select the required check.
  4. Click the Void Check tab. Note: If the check was rolled to the next school year, the category changes to YrEnd Outstanding.
  5. Complete the dialog box. The Reason for the void is mandatory.
  6. Change the category from YrEnd Outstanding back to the original category.
  7. Click the Check Mark to save.
  8. Click Continue.
  9. Click OK to confirm the void.

Outcome

The selected check is voided. The void is stamped with the last date of the reconciliation month and does not affect previously reported balances.

Troubleshooting

  • If the Void Check tab is unavailable, confirm you are in the correct module.  Only district administrators can void a check in Ledger inquire.
  • If the Reason field is left blank, the system will not allow the void to proceed. Ensure it is completed.
  • If the category does not reset correctly, manually change it back to the original category before saving.
