Overview
This article explains what happens when a school waives 100% of an item fee and parent information is required through a KEV Forms or Custom Forms permission form.
In this situation, the standard waive process does not allow the parent to complete the online form after the fee has been fully waived.
Before you begin
- Scenario: The school will waive the entire field trip fee, but the parent must still complete the permission form using KEV Forms or Custom Forms.
- A parent cannot make a partial or $0.00 payment for an item with a fee if they only wish to complete the permission form.
- Once 100% of the fee is waived through SchoolCash Register, the parent will not be able to complete the form online.
What happens when the fee is fully waived
- When a fee is created, with or without a KEV Form or Custom Form, and the fee is attached to the student, the parent can view the item in their SchoolCash Online account.
- A parent cannot make a partial or zero-dollar payment for an item with a fee, even if they only wish to complete the permission form.
- If the school waives 100% of the fee in SchoolCash Register using the payment action, the payment is completed.
- After the payment is completed through the waive payment action, the item disappears from the parent’s SchoolCash Online account.
- Because the item is no longer available in the parent account, the parent cannot complete the online form.
Workarounds
- Waive the fee and have the parent complete a hard copy of the form.
- Copy the item and remove the cost so the item becomes a no-cost fee with a form.
- The parent can then complete the form and complete the online checkout.
- This results in the school having to run two reports with the form information.
Outcome
You can confirm that a parent cannot complete a KEV Forms or Custom Forms permission form online after 100% of the fee has been waived, and you can use one of the available workarounds to collect the required form information.
Troubleshooting
- The parent cannot see the item in SchoolCash Online - If 100% of the fee was waived through SchoolCash Register, the completed waived payment removes the item from the parent account.
- The parent wants to complete the permission form without paying - A parent cannot make a partial or $0.00 payment for an item with a fee just to complete the form.
- The school needs the parent to complete the form even though the fee is waived - Use a hard copy form, or copy the item and remove the cost so the form can be completed through a no-cost item.
- The school used the no-cost item workaround - Be aware that the school will need to run two reports with the form information.
