Overview
Record an NSF (Non-Sufficient Funds) check, print an NSF notice (optional), receive repayment, and deposit funds so the ledger reflects both the NSF and any bank charges.
Record the NSF
- Go to Main Menu, then Income > Non-Sufficient Funds (or via Cash/Checks YTD Itemized > Non-Sufficient Funds).
- Choose one:
- Check was itemized: Select Add New NSF Entry, pick the payer under Deposit From, select the check, then click Continue.
- Check was not itemized: Select New NSF Entry, enter payer name when prompted, then Continue.
- Enter details:
- NSF Date (date on the bank’s NSF notice; today is acceptable).
- Check Amount, Category, and Reason.
- Bank Charge (if applicable). The system will post a separate ledger transaction to the configured bank-charge category.
- Submit. A warning may appear indicating a ledger post; confirm to proceed.
(Optional) Print the NSF notice
- Go to NSF Menu > Edit NSF Notice Text to adjust logo/text if needed; click Submit.
- Go to NSF Menu > Print NSF Notice, select entries, then click Continue.
Receive the NSF payment
- Go to NSF Menu > Receive NSF Payment.
- Select the payer and click Continue.
- Enter the Payment Date and Payment Amount:
- Full payment: Enter full amount (check + bank charge, if charged).
- Partial payment: Enter amount received; any unpaid bank charge remains outstanding.
Deposit the NSF payment
- Go to Main Menu, then Income > Deposits/Receipts.
- Create a deposit form for the payer and enter funds (cash/check, etc.).
- Click Print Current Detailed Receipt if required, then click Add to Ledger.
Verify on the ledger
- Go to Main Menu > General > Ledger Inquire > Search tab > set Transaction Type = NSF to review NSF and bank-charge postings.
Monitor outstanding NSF items
- Go to NSF Menu > View NSF Entries to see current status.
- Go to NSF Menu > Print Outstanding NSF Transactions to list outstanding entries only.
Outcome
The NSF and any bank charges are recorded, repayments are deposited, and the general ledger reflects accurate balances and audit trail.
