Overview
Use the Login Tracking Report to review user sign-in activity in School Cash Accounting. This report helps you confirm when a user accessed the system and shows the login details recorded for each session.
The report is useful when you need an audit trail of user access, such as reviewing activity for a specific user over a date range, confirming whether a user signed in, or checking the browser and workstation information associated with a login.
Before you begin
- Only District/Auditor Users can access Program Maintenance > Table Maintenance to open the Login Tracking Report.
Steps
- From the Main Menu, select Program Maintenance.
- Select Table Maintenance.
- Select Login Tracking Report.
- Review the report output for the user activity you need to audit.
- Report Start Date
- Report End Date
- Sort By: Login Date or User Full Name
- Board/District - Select your District Name
- User: Select a specific user or leave 'blank' to select all users
- Logout method - Select one of the following or leave blank to select all:
- Exception (user session ended due to an internal error)
- Manual (user logged themself out)
- Timeout (SchoolCash session exceeded the session time limit and the user was automatically logged out)
- Display Online Users Only: check if you want to only include users currently online.
- To view report, click Continue.
- Identify the relevant login entries by matching the recorded details, including Username, Full Name, Browser, Host Address, School, logged In and Out date and time values, and the Bank Account shown on the report.
- To export the report, click on the floppy disc icon on the top-left corner of the report screen, next to the 'print' icon. Export in PDF, Word or Excel format, as desired.
Outcome
The Login Tracking Report provides a record of user login activity that you can use for auditing and review.
Troubleshooting
- You need more than a simple confirmation that a user logged in - Review the full report details for each login entry, including the user name, browser, host address, school context, and accessed and logout timestamps.
- You need to review access for a specific user - Locate the entries for that user by matching the Username and Full Name shown on the report.
- You are not able to open the report - Confirm that your user access includes Program Maintenance and Table Maintenance.
